Client Terms

Version 1.0 · Effective 23 October 2026

MEDNETIKS LTD
Company number: 12891915

Your accepted order and proposal define the work. These terms, including data protection, form part of your agreement with Mednetiks Ltd.

Working together

1. Scope and approval. We deliver the agreed proposal; extras need your approval and a separate quote. You supply lawful, accurate content and timely approvals. Clinical claims require your approval. Delays in content or approval move delivery dates. We obtain your written approval before launch.

2. Payments. Project instalments are interest-free; the first is due at booking. Subscriptions are paid in advance. After written notice, we may pause the affected work or hosted service if its payment remains 14 days overdue.

3. Care and corrections. Owned websites include hosting and technical care for 12 months from launch, then £45/month or £450/year if continued. Care covers SSL, backups, security monitoring, updates and technical maintenance; content changes cost extra. We correct faults in our work against the agreed specification free of charge.

4. Ownership and moving. Paid-up tailored websites and commissioned articles are yours; you retain your domain and supplied content. Mednetiks Control remains ours and stays on our servers. For an agreed fixed migration fee, we prepare a working copy without its proprietary dashboard, options interfaces and code, preserving your content, dynamic fields, appearance and standard WordPress editing. Our plugin licence coverage ends with hosting and maintenance; we remove our keys, and you arrange licences for future updates and support. Third-party assets retain their own terms.

5. Subscriptions and exit. Managed websites are provided while subscribed, with a 12-month minimum; SEO and the Website Assistant have a 3-month minimum, unless your order says otherwise. Prices stay fixed during the minimum term and any prepaid year. Afterwards, cancel with 30 days’ notice before the next monthly or annual renewal. Later price rises require at least 30 days’ notice and an opportunity to cancel. Early cancellation does not remove minimum-term fees, except for our unresolved material breach. Managed clients receive their text, uploaded media and content records within 30 days of leaving; the website and Mednetiks Control do not transfer.

6. Ending a project. You may stop a project by written notice, paying for completed stages at the values in the proposal and agreed non-recoverable costs. We refund any excess and cancel unpaid, unstarted stages. Either party may end the agreement for a material breach not remedied within 14 days of notice. If we breach, we refund undelivered work and unused prepaid service periods.

7. Content and results. You approve AI-assisted articles and page copy before publication. Live Website Assistant replies are automated, identify the service as AI and are configured for general information, excluding clinical advice. We test the Assistant and review samples monthly. Rankings, indexing times and enquiries are not guaranteed. SEO clients receive monthly reports. Your approval does not excuse our own errors.

8. Responsibilities. We use reasonable skill and care. Our total liability per order is capped at the higher of the agreed project price or the fees paid under that order in the previous 12 months; for subscriptions, the cap is those 12 months’ fees. We exclude indirect losses. Neither limit applies to fraud, death or personal injury caused by negligence, or liability that cannot lawfully be limited. We keep confidential information private and obtain written consent before using your work in our portfolio or case studies. The law of England and Wales governs this agreement.

Data protection

These processor terms apply where we handle personal data for you. You are the controller; we are your processor. You arrange your privacy notices and lawful collection. Websites and Assistants are not clinical record systems.

Processing covers hosting, maintenance and the ordered services for the contract term and the deletion period below. It involves storing, backing up and transmitting visitor, customer, patient and staff data: names, contact details, enquiries, bookings, sign-ups, accounts and chats. Health information is not requested unless separately agreed, but visitors may volunteer it.

Our obligations. We process data only on your documented instructions, including this agreement, and tell you if an instruction appears unlawful. Authorised staff must keep it confidential. We use appropriate security, including encrypted connections, access controls, updates, monitoring and backups. We assist with individual rights, security, breach response, impact assessments and regulatory consultation, supply compliance information, and allow and support audits.

Providers and transfers. You authorise the service providers on our current provider list, which we supply on request and keep up to date. We impose equivalent processor obligations on them and remain responsible for their processing. We give 30 days’ notice before adding or replacing one, so you can raise reasonable data protection objections. Transfers outside the UK take place only with an adequacy decision or appropriate transfer safeguards.

Breaches and deletion. We notify you without undue delay, and at most 48 hours after becoming aware, with further information as it becomes available. When the agreement ends, you may ask for a copy of your personal data within 30 days. We then delete it from live systems within 30 days of the agreement ending, unless the law requires us to keep it. Backups run on a rolling 30-day cycle, so any remaining copies are overwritten within a further 30 days and are not used in the meantime.

Your agreement

Your accepted order and identified proposal form part of this agreement. Agreed order details prevail over these standard terms; the data protection terms prevail for personal data.
